Guidelines for Exhibitors


We’re delighted to welcome you to the GR-Amaldi Conference at the Scottish Exhibition Campus (SEC) in Glasgow, taking place from 13–18 September 2025. This guide is designed to support your preparations for a smooth and successful exhibiting experience. Please read through the following information carefully. Stands

Each stand includes the following:

  • 6ft table and 2 chairs
  • 500w socket (2amps)
Build and Breakdown Times:

  • Set up - Sunday 13 July from 13:00 - 14:00 / Monday 14 July from 08:00 - 10:00
  • Breakdown - Friday 18 July from 13:30
During build and breakdown of the exhibition, care must be taken to ensure the safety of all. All personnel are required to wear appropriate PPE such as high visibility clothing and appropriate footwear.

Deliveries:

The SEC can only accept deliveries from Friday, 11 July onwards.

Note the SEC won’t accept any deliveries before Friday, 11 July. Any deliveries made before the event will be refused. This may result in the sender having to rearrange for the delivery / collection at their own costs. Additionally, the SEC will be unable to store any items after the event tenancy. Should any items be left, SEC will endeavour to contact the owner of the items but may have to dispose of them at the organiser’s cost. 

If you are planning to send material via courier, we recommend using our logistics contractor Cameron Logistics (see below). If you are using your own courier, please send the following to claire.garland@iop.org by 11 July 2025.

Vehicle Access

Before you arrive at the venue, we need the following information for us to manage traffic operations safely on our roads.

  • Your name / Company
  • Vehicle registration
  • Duration of your visit
These details will be passed to the Security Control team before granting access. 

Access to Halls 1 and 2

  • Enter via the Service Entrance and follow instructions from the Gatehouse Security team. 
  • Park your vehicle in designated parking spaces only. 
  • Exit is via the same route that you entered from. 
  • Engines MUST be switched off when your vehicle is not in use 
  • Note: There is a two-way traffic system operating along this route.

First Aid

The SEC Centre features a fully stocked First Aid Centre on the east end of the concourse. First Aid facilities are also available in the SEC Armadillo. 

Fire

If you discover a fire:

  • Break the glass on the nearest manual call point, normally located by exit doors
  • Advise others in the vicinity to leave the area

Please be aware that when a fire system detection device is activated, the Security team will respond IMMEDIATELY even if you do not hear an audible alarm.Should it be necessary to evacuate, a message will be broadcast across the campus. As soon as the instruction to evacuate the venue is heard, you must leave the premises by the nearest available exit. Follow the directions from G4S or SEC team members to your designated assembly point.

Smoke Free Venue

In Scotland there is a law which prevents smoking in enclosed spaces. The following policy has been developed to protect all employees, service users, customers, and visitors from exposure to second-hand smoke and to assist compliance with the Smoking, Health, and Social Care (Scotland) Act 2005.

Smoking is prohibited throughout the entire Campus with no exceptions. This includes company vehicles. This applies to all employees, consultants, contractors, customers, or visitors.

Those who demonstrate noncompliance will be with the smoking law and Campus rules will be charged a penalty fine. As the venue is under the control of the Principal Contractor/ Organizer/ Production Company these parties will be liable for any noncompliance SEC will not be liable for breaches in legislation.

  • Wear your safety gear
  • Follow your risk assessment and / or method statement when working
  • Keep entry, exit, and fire exit routes clear
  • Keep all work areas clean, tidy and hazard free
  • It is forbidden to consume alcohol and non–prescription drugs whilst at work
  • Make sure firefighting equipment is always within reach
  • Make sure that portable electrical equipment has been tested
  • Obtain Permits to Work for high-risk activities from the SEC Technical Manager/ SEC Sponsor Manager, e.g., where hot work or working at height may be required
  • Report all accidents and near misses so that we can learn from them and stop them from happening again
