Joining Instructions: Poster Presentations


All e-poster files are to be emailed by 14 June 2026 to vivien.thomas@iop.org

Once you have submitted your e-poster, no changes will be permitted.
Reminder: the posters are electronic and NOT printed.

Preparing your e-poster

  • Authors are responsible for ensuring that they have the necessary copyright / permissions for all material. 
  • Posters should be prepared as a single page PDF, in a portrait format. Do not add crop marks or bleed.
  • If preparing your poster in PowerPoint before converting to a PDF make a custom sized single page to: height 63.5cm and width 38.1cm.
  • Poster recommendations: set image compression to High Fidelity. RGB Colour is recommended. 150dpi recommended to balance quality and file size, and do not exceed 300dpi. If you have any questions regarding poster sizing or these recommendations, contact vivien.thomas@iop.org
  • After submission, if we identify any presentation issues, we will let you know so they can be amended.
  • Do not link images or videos and do not set any motions or timings.
  • The e-poster screens are almost double the size of the poster file and approximately 4 times larger than the average office screen. To check your poster doesn’t contain any pixelations or text size too small, please zoom into your final PDF poster file and check you’re happy with it before submitting.

 Uploading your presentation

  • Your poster PDF will be uploaded to the e-poster boards by an AV technician prior to the conference. Reminder: your poster PDF is to be emailed to vivien.thomas@iop.org by 14 June

On the day management

  • Each e-poster board will be numbered. Your assigned board number and presentation time will be emailed to you before the conference. This information will also be available on the Society’s programme page and on this webpage. You can also confirm your details at the registration desk when you arrive.
  • We recommend familiarising yourself with the e-poster board system ahead of your presentation slot so you know how to access your poster. The system is straightforward to use, but if you need any assistance, please speak to a member of the team at the registration desk. Refer to the image below for an example of an e‑poster board.
  • BBS & DGfB specific instructions: 
    • Each poster presenter slot covers the entire session (either Poster Session 1a, 1b, 2a or 2b), depending on your allocated session.
  • ISMB specific instructions:
    • Each poster presentation slot is 9 minutes, including Q&A. We recommend speaking for no more than 5 minutes, leaving 4 minutes for questions. After the 9 minutes there is a 1-minute changeover period between presentations.
    • A warning will be given when 1-minute remains, followed by a final announcement marking the end of the 9‑minute slot, and another announcement to indicate the start of the next presentation. 
    • If there is any spare time at the end of your poster session, once the formal presentations have finished, we encourage all presenters to remain by their e‑poster board to chat informally with attendees and answer questions.
  • The Physiological Society specific instructions:
    • Each poster presenter slot covers the entire session (either Poster Session A or Poster Session B), depending on your allocated session.

  • Summary (all societies):

    • There will be 20 e-poster boards, numbered 1–20
    • Your board number and time slot will be emailed to you closer to the event, as well as available on the website
    • During your slot, please stand by your poster to present your work and answer questions
    • Please refer to the specific instructions for each society outlined above
    • Please refer to the picture to help illustrate what to expect.
