Once you have submitted your e-poster, no changes will be permitted. Reminder: the posters are electronic and NOT printed.
Preparing your e-poster
Authors are responsible for ensuring that they have the necessary copyright / permissions for all material.
Posters should be prepared as a PDF, in a portrait format. Do not add crop marks or bleed.
If preparing your poster in PowerPoint before converting to a PDF make a custom sized single page to: height 63.5cm and width 38.1cm.
Poster recommendations: set image compression to High Fidelity. RGB Colour is recommended. 150dpi recommended to balance quality and file size, and do not exceed 300dpi. If you have any questions regarding poster sizing or these recommendations, contact vivien.thomas@iop.org
After submission, if we identify any presentation issues, we will let you know so they can be amended.
Do not link images or videos and do not set any motions or timings.
The e-poster screens are almost double the size of the poster file and approximately 4 times larger than the average office screen. To check your poster doesn’t contain any pixelations or text size too small, please zoom into your final PDF poster file and check you’re happy with it before submitting.
Uploading your presentation
Your poster PDF will be uploaded to the e-poster boards by an AV technician prior to the conference. Reminder: your poster PDF is to be emailed to vivien.thomas@iop.org by 14 June
On the day management
Each e-poster board is numbered. Please check your board number and presentation time on the relevant Society agenda page. You can also confirm this at the registration desk upon arrival.
We recommend familiarising yourself with the e-poster board system ahead of your presentation slot so you know how to access your poster. The system is straightforward to use, but if you need any assistance, please speak to a member of the team at the registration desk. Refer to the image below for an example of an e‑poster board.
Each poster presentation slot is 9 minutes, including Q&A. We recommend speaking for no more than 5 minutes, leaving 4 minutes for questions.
A warning will be given when 1-minute remains, followed by a final announcement marking the end of the 9‑minute slot, and another announcement to indicate the start of the next slot. There is a 1-minute changeover period between presentations.
If there is any spare time during your poster session, once the formal presentations have finished, we encourage all presenters to remain by their e‑poster board to chat informally with attendees and answer questions.
During your allocated poster presentation slot, you are required to stand next to your e‑poster board to facilitate discussion about your work and answer any questions. Once your slot has ended, the next presenter will begin. Please note that each poster session includes multiple presentations per e‑poster board.
Flash presentations
Preparing your presentation
Some societies have included flash presentations, in which every poster presenter participates. These sessions give you the opportunity to briefly highlight your research ahead of the formal poster session, in a relaxed and engaging setting that encourages attendees to visit your poster for further discussion. Think of it as a quick showcase, not a formal talk.
If the society you are allocated to is offering flash presentations, you will be notified by email. You can also check the society’s agenda or contact vivien.thomas@iop.org for confirmation.
