Poster Presenters and Exhibitors

Posters

The poster sessions will be held in Room A, alongside the exhibitors and catering.

Preparing your poster

  • Posters should be prepared in A0 (84.1 x 118.9 cm / 33.1 x 46.8 inches), 
  • The available poster boards measurements are 177 cm in height x 88 cm width.
  • Authors must ensure that they have the necessary copyright / permissions for all material

Displaying your poster 

Posters may be displayed from 09:00 on Monday, 21 September 2026 and must be removed by 18:00.

We'll be utilising double sided white boards. (Image below)

Exhibitors

What is included?
Exhibition package will be provided with:

  • One table (180 cm x 80 cm)
  • Two chairs
  • Complimentary registration to access the talks, refreshments, lunch and drinks receptions. 

The venue is an open space. While the building will be secured each evening, exhibitors may leave their materials overnight at their own discretion.

Build and Breakdown
  • Set-up: From 9am on Monday 21 September 2026 
  • Breakdown: 6pm 21 September 2026

Deliveries

For the delivery of goods, exhibitors deliver the goods via our service yard at the back of the West Hub;

  • Drive to the end of JJ Thomson Avenue from Madingley Road
  • Turn right onto Charles Babbage Road
  • Take the 1st running right and then 1st turning right again, into our service yard (what3words: ///stared.third.tests)

Once items have been deposited each vehicle will need to be moved to car park 4 (we can direct you on the day). I will issue an access card that can be returned when you reverse this procedure upon departure. Failure to return the access card incurs a fee of £50.

With limited storage options at the West Hub, we are not able to store any items related to the event beyond Monday the 21st September. Collections after the event are not permitted.

Storage of boxes on the day will be possible.
