Joining Instructions


The information below is intended to help you prepare for the PVSAT conference. Please read the instructions carefully. If you have any questions, please email conferences@iop.org, and a member of our team will respond as soon as possible. 

Location

The event will take place in the Great Hall at Swansea University's Bay Campus

Car parking is available in the visitor car park. Please visit to pay online https://swansea.totalpark.uk/en/index.php.

Registration

All participants are requested to visit the registration desk on their first day at the conference to collect their conference badge, a pen and pad and copy of the programme. Badges must be worn at all times while on-site at the conference. If you are likely to forget your badge, please return it to the registration desk on your departure each day, and we will keep it safe for you. The registration desk will be managed by Claire Garland and Sarah Evans from the Institute of Physics (IOP). The registration desk will be staffed during the following hours:

Wednesday 2 April10:30 - 19:00
Thursday 3 April08:30 - 19:00
Friday 4 April08:30 - 13:30

Catering

All catering will be held in the Great Hall Galleries except for the Conference Dinner which will be held off-site (see below). We are dedicated to accommodating your dietary needs, including any allergens. All food items will be clearly labeled. If you have any questions or need assistance, please don’t hesitate to speak to the catering team on-site or the conference organisers. 

Social Programme

We've planned an exciting social programme for you, offering plenty of opportunities to network with colleagues, explore the poster presentations, and connect with exhibitors. The social programme includes drinks and pizza at Bay Campus on Wednesday 2 April and the Conference Dinner on Thursday 3 April. 

The Conference Dinner will take place at Brangwyn Hall, Guildhall Rd S, Swansea SA1 4PE. Buses will depart from outside the Great Hall at 19:00 and will return attendees at the end of the dinner. The dinner consist of an arrival drink, a three course dinner with wine and a performance during the welcome reception by the Rock Choir. 

WiFi

Academic visitors can access University Wi-Fi via Eduroam connection. The free Wi-Fi network for non-academic visitors to the University is called SwanseaUni-Visitors. This is and open network which requires users to sign in via a web page:

  1. View the list of available wireless networks on your device.
  2. Connect to the SwanseaUni-Visitors SSID.
  3. Once you are connected you should be prompted to sign-in, follow the log in instructions.
  4. If you are not prompted, open a web browser and type in the URL of: https://socialwifi.swansea.ac.uk 

Code of Conduct 

The Code of Conduct outlines the expected behavior that the IOP requires all attendees to uphold. Our events are designed to be open and inclusive, ensuring that everyone feels comfortable, regardless of gender, ethnicity, or background. For more information on the Code of Conduct, please refer to the website here. If, during the event, you have any concerns that the Code of Conduct is not being followed, please speak with the registration desk. 

Environmental Policy

The organisers and the organising committee recognise their environmental responsibilities and are committed to ensuring the event is as sustainable as possible. To achieve this, we have: 

  • Minimised waste by reducing consumption. 
  • Effective waste management and recycling points
  • Stopped waste by using upcycled, recycled, or reusable items
  • Worked with ethical partners when purchasing supplies
  • Complied with all applicable environmental legislation and relevant codes of practice.

Health and Safety and Security

Your safety and well-being are our top priority during the conference. In light of this, we are sharing the following safety protocols to ensure a secure and comfortable experience for all attendees.

First Aid

If you require first aid during the conference, please go to the registration desk or speak to a member of the Bay Campus team. A trained first aider will be available at all times while on-site at the conference

Fire Evacuation Procedure

In the event of a fire:

  1. Raise the alarm at once by breaking the glass of the nearest fire alarm call point.
  2. If safe and possible, telephone 333 on internal phones and give the location of the fire.
  3. Leave the building at once, closing doors and windows as you go.

If you hear the alarm:

  1. Leave the building immediately, closing all doors behind you.
  2. When clear of the building proceed at once to the assembly area: USE NEAREST AVAILABLE EXIT.

  • DO NOT STOP TO COLLECT PERSONAL BELONGINGS
  • DO NOT USE THE LIFTS
  • DO NOT RE-ENTER THE BUILDING

Evacuation procedure:

  1. Porters/Security/Fire Wardens will attend a fire call to assist with evacuation and building security.
  2. Anybody who has important information regarding the fire or persons injured or trapped must report to the Incident controller.
  3. Building occupants may only re-enter when given permission by the fire service or the Incident controller. Silencing of the alarm is not an indication that building occupants are allowed to return.
