Instructions for Oral Presentations


The conference programme is available to view, please make sure you are aware of the date and time of your talk. Please note: talk times may change right up until the day, please keep checking back to the programme for your latest presentation time. 

Preparing your presentation

  • Please ensure that you keep within your allocated time slot as these will be strictly enforced by the session chairs:
    • Plenary speaker: Duration 45 (35mins talk + 10mins Q&A)
    • Invited speaker: Duration 30 (25mins talk + 5mins Q&A)
    • Contributed oral talk: Duration 15mins (12mins talk + 3mins Q&A)
    • ECR Satellite Event flash oral talk: Duration 3 mins (no Q&A permitted)
    • ECR Satellite Event full oral talk: Duration 20mins (15mins talk + 5mins Q&A)
  • You, as the presenting author, are responsible for ensuring that you have the necessary copyright / permissions for all material included within your presentation.
  • PDF and PowerPoint are accepted. PowerPoint is preferred, if that’s possible.

Uploading your presentation and the on the day management

  • You must bring your presentation on a memory stick and upload it in the Speaker Preview Room ideally the day before or at least 4 hours prior to your session. Direct connection of your personal laptop to the session computer is not permitted. The speaker preview is located in the Conference Link Room.
  • Your presentation will automatically be uploaded to the relevant session computer in preparation for your talk. There will be an AV technician in the room or nearby if help is required.
  • The Preview Desk is located in the 'Conference Link' room and the opening hours are:
    • Monday: 8am to 6pm
    • Tuesday: 8am to 6pm
    • Wednesday: 8am to 6pm
    • Thursday: 8am to 11:30am
  • To rehearse your talk, book a time at the Speaker Preview Desk. We recommend that you check for correct presentation of your files - in particular if they contain videos or other animated items.
  • The Chair of the session will introduce each talk and then moderate all questions from the audience.

 The lecture theatres are equipped with the following audio-visual equipment/support

  • Projector
  • Screen
  • PC/Laptop
  • Lectern (fixed) and microphone 
  • Wireless microphone
  • Clicker and laser pointer
  • There will be AV support in each room/nearby, if required.
