The information below is intended to help you prepare for the OWTNM Workshop. Please read the instructions carefully. If you have any questions, please email conferences@iop.org, and a member of our team will respond as soon as possible.

Travel 

By Car

Nottingham is at the heart of the country and is well served by the motorway network. The M1 passes close to the west of the city, the A42 / M42 link to the south-west of the city, and the A1(M) to the east of the city.

When using the M1 from the north, exit at Junction 26 and take the A610 Nuthall Road / Alfreton Road into the city. When using the M1 from the south, use Junction 24 and follow the A453 into the city centre.

When driving to City Campus please use the following postcode NG1 4BU.

Car Parking

We do not have onsite car parking, the Forest Park and Ride tram service is particularly convenient and is always popular with delegates attending events.

We do have discounted rates with Q-Park Talbot Street please use the post code NG1 5GG. Delegates must pre-book their parking at Talbot Street via the Q-Park website.

By Tram

The Nottingham Express Transit (NET) tram stops on our University’s City Campus, providing a convenient link from the railway station and the area around Broadmarsh Bus Station redevelopment. There are also several park and ride stops along the route, which provide convenient places to park when visiting the University. The Phoenix Park Park and Ride site is close to Junction 26 of the M1 and the Forest Park and Ride site is near to the city centre.

Nottingham station is located approximately one mile from our City Campus, which can then be accessed on foot, by tram or by bus.

Registration

All participants are requested to visit the registration desk on their first day at the conference to collect their conference badge. Badges must be worn at all times while on-site at the conference. If you are likely to forget your badge, please return it to the registration desk on your departure each day, and we will keep it safe for you. The registration desk will be managed by Tima Kanu from the Institute of Physics (IOP). The registration desk will be staffed during the following hours:

Thursday, 10 April08:30 - 14:30

Catering

All catering will be held in the Foyer except for the Conference Dinner which will be held off-site (see below). We are dedicated to accommodating your dietary needs, including any allergens. All food items will be clearly labeled. If you have any questions or need assistance, please don’t hesitate to speak to the catering team on-site or the conference organisers. 

Social Programme

The social programme includes a reception held at Nottingham Trent University on Tuesday, April 8 from 16:30 - 17:30 and the conference dinner at the Crowne Plaza Nottingham located just a few minutes walk from the venue. The dinner will start at 18:30.

A cloakroom will be available; however, items are left at the owner's risk.

Code of Conduct 

The Code of Conduct outlines the expected behavior that the IOP requires all attendees to uphold. Our events are designed to be open and inclusive, ensuring that everyone feels comfortable, regardless of gender, ethnicity, or background. For more information on the Code of Conduct, please refer to the website here. If, during the event, you have any concerns that the Code of Conduct is not being followed, please speak with the registration desk. 

Environmental Policy

The organisers and the organising committee recognise their environmental responsibilities and are committed to ensuring the event is as sustainable as possible. To achieve this, we have: 

  • Minimised waste by reducing consumption. 
  • Effective waste management and recycling points
  • Stopped waste by using upcycled, recycled, or reusable items
  • Worked with ethical partners when purchasing supplies
  • Complied with all applicable environmental legislation and relevant codes of practice.

Health and Safety and Security

Your safety and well-being are our top priority during the conference. In light of this, we are sharing the following safety protocols to ensure a secure and comfortable experience for all attendees.

First Aid

If you require first aid during the conference, please go to the registration desk or speak to a member of the NTU team. A trained first aider will be available at all times while on-site at the conference

Fire Evacuation Procedure

The Newton building comprises of 10 accessible levels (0-10), all areaccessible by lift. Lifts ‘A’ and ‘F’ may be used in the event of a fire for evacuation. Refuge points are available on all accessible levels. Emergency Voice Communication(EVC) systems are present at all refuge points, which link directly to the NTU security control room. Fire exits on level 0 and 1 provide level access. 

ACTION REQUIRED ON HEARING A CONTINUOUS FIRE ALARM

If able, you should leave the building immediately by the nearest fire exit and report to the assigned assembly point for the building (see below). If you discover a fire, activate the nearest break glass call point located at final exit routes. If you are unable to evacuate the building unaided, please proceed to the closest safe refuge point. All staff present are trained Fire Wardens and are responsible for ensuring that each floor level is evacuated. If you require assistance speak to a staff member. An EVC system is available at each refuge point, use this contact the NTU Security team and notify them of your location, details of which are printed on the front of the panel.
