Rules

Listed below are the house information which you may find useful to make your stay as comfortable as possible:

  • The Jubilee Hotel and Conferences is a strictly no smoking building, a £100 fine will be charged.
  • The designated smoking area is the external walkway at the rear of the building.
  • Car parking – please ensure a parking permit is displayed on your dashboard throughout your stay. Please obtain a permit from reception. Failure to display a permit will result in a fine from the site parking enforcement team.

Registration Times

On arrival at the conference, please collect your badge and conference material from the registration desk. On Monday, the registration desk will be in the Central Foyer and from Tuesday onwards, in the East Atrium.

Talks and Posters

  • All talks will take place in Triumph Room 1. Presenters should refer to the instructions available here.
  • Posters will be displayed in Raleigh 1. You can find your poster number by visiting the programme. Instructions for preparing your poster are also available here
  • If you have selected to deliver a flash talk, please refer to the instructions available here

Catering

Catering will be held at set times during the programme. If you indicated when registering for the conference that you have a specific dietary requirement or allergy, please make yourself known to the catering team.

  • Spokes Café: Monday – Friday: 07.00 – 16.00
  • Bar: The bar opening times are 16.00 – 23.00. Serving a great drinks selection and bar menu.

Social Programme

  • Monday, 3 February: Drinks and Pizza (Spokes Restuarant)
  • Tuesday, 4 February: Conference Dinner (Spokes Restaurant)

WiFi Information

Nottingham Venues is an open network. Delegates will need to click on the network, fill in the details when prompted and accept the T&Cs. Alternatively, those with an ac.uk email will be able to log in to our University Eduroam network.

Additional Information

  • Access – all meeting rooms are located on the ground floor with hotel bedrooms on the first and second floor, lifts and stairs are available for access. 
  • All meeting rooms are wheelchair accessible. 
  • Photocopying services are available at an additional charge, to take advantage of these services please see our reception for details.
  • Check in for bedrooms are from 15.00 onwards and check out is at 11.00. 
  • Take advantage of the hotels fully equipped gym on our 1st floor, by filling in a health questionnaire with reception. Opening hours for the gym are between 07:00 and 22:00

Fire

Please familiarise yourself with the fire action plan located in your meeting room and note that the fire assembly point is at the pay & display car park next to the main driveway. The fire alarm is tested each Monday morning at 10.30am (Unless on a bank holiday and the test will occur on a Tuesday at 10.30am). There will be 3 separate alarms to test call points in different areas of the building.

Security

Please ensure that no valuable items are left unattended in the public areas during your time with us.

Health and Safety

Your safety at the event is our top priority and as such we plan for all eventualities and emergencies. A member of the on-site team is a trained first aider and will be able to assist should you have a medical issue. 

Environmental Policy

The organisers and the organising committee recognise their environmental responsibilities and are committed to ensuring the event is as sustainable as possible. To achieve this, we have: 

  • Minimised waste by reducing consumption. 
  • Effective waste management and recycling points
  • Stopped waste by using upcycled, recycled, or reusable items
  • Worked with ethical partners when purchasing supplies
  • Complied with all applicable environmental legislation and relevant codes of practice.
