Exhibitor Joining Instructions


Here’s some information which you may find useful when exhibiting at the PVSAT conference. 

Deliveries and collections by courier

  • If you’re sending any items ahead of the conference and/or being collected afterwards, please ensure you follow these guidelines.
  • Deliveries will be accepted at The Catalyst on Monday 20 or Tuesday 21 April between the hours of 10am to 3pm.
  • All deliveries should be clearly labelled as follows:

  • Collections must be made by 3pm on Friday 24 April. Any items not collected by this time and date will be disposed of. Please add the name of the courier, an approximate pick-up time and appropriate printed address labels onto each box. Please ask at the IOP registration desk as to where your items are to be stored in preparation for collection.

Set-up and breakdown

  • Access for set-up is from 9:30am on Wednesday 22 April. Upon arrival, please register at the IOP registration desk and you’ll be given your badge and lanyard, shown to your exhibition table and given an orientation.
  • Breakdown is from 11am on Friday 24 April, during the final session. Alternatively, you’re very welcome to break down on Thursday 23 April if that’s easier for you, as we understand it may not be worthwhile for you to attend on Friday morning when there’s only one break. If you choose to break down on Thursday, please ensure everything is completed by 5pm, as we must be out of the building by then.
  • The exhibitor tables are 4ft in length.

Storing items overnight during the conference

  • There is a very small lockable cupboard you can use, alternatively, items can be left in situ but this is at your own risk and the University and the IOP take no responsibility. We recommend that any valuable items or IT/tech equipment are locked away (cupboard space permitting) at the end of each day or kept with you. Please ask at the IOP registration desk for the location and access information for the lockable room.
WiFi

  • Wi‑Fi can be accessed via Eduroam or through the public network. Please visit the registration desk for the public Wi‑Fi login details.

Parking nearby and travel information

  • There is no general parking available onsite, but you are able to stop briefly to unload and load. You’re welcome to pull up on Bath Lane for this purpose, please be aware that the street is occasionally patrolled by parking wardens, but a 15‑minute grace period is usually permitted for this purpose. Once you’ve finished unloading or loading, the vehicle will need to be moved offsite.

Equipment

  • Any equipment brought on site must be PAT tested, including extension cables.
  • We recommend that laptops, electronic devices and other items of value are not left unattended or unsecured on the stand at any time. The IOP or the University cannot accept responsibility for the loss of or damage to any items left unattended on the premises.

  • Newcastle offers a wide range of accommodation options to fit every budget. With The Catalyst conveniently located in the city, you'll find plenty of places to stay. Preferential rates have been negotiated with a number of hotels by our accommodation partner 'Newcastle Gateshead Initiative'. Final delegate information 

  • This will be sent to those who have registered a week prior to the conference.
