Instructions for Exhibitors


Here’s some information which you may find useful when exhibiting at the conference.

Deliveries and collections by courier

  • If you’re sending any items ahead of the conference and/or being collected afterwards, please email vivien.thomas@iop.org for more information. 

 Set-up and breakdown

  • Access for set-up will be available from 9am on Tuesday 24 June. Please aim to be ready by the morning break at 10am. If this is not feasible due to travel arrangements, we kindly ask that you are fully set up by lunchtime at 12:50pm. 
  • Upon arrival, please register at the IOP registration desk and you’ll be given your badge and lanyard, shown to your exhibition table and provided with an orientation.
  • Breakdown is from 4:30pm to 5:30pm on Thursday 26 June, during the final session.
  • There is no general parking onsite, but you can unload/load directly outside the building. Parking for this purpose is for a very short time only. For car park information, please click here.

 Storing items overnight during the conference

  • There is a lockable room close to the exhibition stands, alternatively, items can be left in situ but this is at your own risk and the University and the IOP take no responsibility. We recommend that any valuable and IT/ tech equipment is locked away at the end of each day. Please ask at the IOP registration desk for the location and access information for the lockable room.

 Wi-Fi:

Wi-Fi can be accessed by two methods:

  1. Eduroam: If your home institution has eduroam available, please ensure this is set-up prior to your visit. You will be unable to set up an eduroam connection if you haven’t already set it up where you work or study.
  2. UOBGuest: Is also available and connection is free of charge.

Equipment

  • Any equipment brought on site must be PAT tested, including extension cables.
  • We recommend that laptops, electronic devices and other items of value are not left unattended or unsecured on the stand at any time. The IOP or the University cannot accept responsibility for the loss of or damage to any items left unattended on the premises.
  • If an extension cable is required, please supply your own.
  • If you plan to bring electrical equipment onsite that requires more power than a standard laptop, please email vivien.thomas@iop.org in advance, as authorisation from the University is required.
  • If you plan to distribute food at your stand, please ensure that it remains in its original packaging and includes clearly labelled dietary information.
Accommodation

  • Preferential rates have been negotiated with a number of hotels by our accommodation partner 'Hotels and Venues'. For more information and to book, click here.

Final delegate information will be sent to those who have registered a week prior to the conference.
