Exhibition Joining Instructions


Here’s some information which you may find useful when exhibiting at the conference.

Deliveries and collections by courier

If you’re sending any items ahead of the conference and/or being collected afterwards, please ensure you follow these guidelines:

  • Deliveries will be accepted at the University on Thursday 27, Friday 28 June or Monday 1 July between the hours of 10am to 3pm.
  • All deliveries should be clearly labelled as follows:

  • Collections must be made by 3pm on Friday 5 July. Any items not collected by this time and date will be disposed of. Please add the name of the courier, an approximate pick-up time and appropriate printed address labels onto each box. Please ask at the IOP registration desk as to where your items are to be stored in preparation for collection.

 Set-up and breakdown

  • Access for set-up is from 2pm to 4pm on Monday 1 July 2024 or from 7:30am on Tuesday 2 July. Upon arrival, please register at the IOP registration desk and you’ll be given your badge and lanyard, shown to your exhibition table and given an orientation.
  • Breakdown is from 11am on Friday 5 July, during the final session.

 Storing items overnight during the conference

  • There is a lockable room in an adjacent building you can use, alternatively, items can be left in situ but this is at your own risk and the University and the IOP take no responsibility. We recommend that any valuable and IT/ tech equipment is locked away at the end of each day. Please ask at the IOP registration desk for the location and access information for the lockable room.

 Wi-Fi:

Wi-Fi can be accessed by two methods:

  1. Eduroam: The University of St Andrews has eduroam - a global service that enables students, researchers and staff from participating institutions to obtain wifi connectivity. This is available in most University of St Andrews buildings. If your home institution has eduroam available, please ensure this is set-up prior to your visit to St Andrews. You will be unable to set up an eduroam connection in St Andrews if you haven’t already set it up where you work or study.
  2. BT Openzone: is also available to guests. You will be able to connect free of charge in most University of St Andrews buildings.

 Parking nearby and travel information :

  • If large vehicles will be delivering any items, we must be notified at least 2 weeks before.
  • There is no general parking onsite, but you can unload/load. Parking for this purpose is for a very short time only.  
  • For those who book to stay onsite at the Agnes Blackadder Hall, free parking is available.
  • The nearest public car park is ‘Petheram Bridge Car Park, St Andrews’, North Haugh, St Andrews, Fife, KY16 9SG. It is free to park and it’s about a 3-5 minute walk from the conference venue. Please be aware, the car park does get busy.

 Equipment

  • Any equipment brought on site must be PAT tested, including extension cables.
  • We recommend that laptops, electronic devices and other items of value are not left unattended or unsecured on the stand at any time. The IOP or the University cannot accept responsibility for the loss of or damage to any items left unattended on the premises.

Accommodation
University accommodation is available to book at a discounted rate, located a 5 minute walk from the conference venue. The lower rate is available until 22 May 2024 and thereafter it is no longer valid and the full rate will apply. For more information and to book, please click here.
