Exhibitor Joining Instructions


Below is some useful information for exhibitors, if you have any questions, please email Molly.Sheppard@iop.org.

Deliveries and collections by courier

Please note, the venue has limited storage facilities. Deliveries must be made the day before the conference and not any earlier. 

Delivery of materials:

Please mark all packages with following information:

Return shipments

Should you need to leave any items for courier collection please follow the following instructions:

1. Pack and seal all boxes/package/display boxes

2. Clearly and correctly label the items for return

3. Take the items to the Reception Centre for collection

* There is limited storage space and the venue can only hold items for a maximum of 
5 days. Please ensure your items are collected within that time.

Parking

  • Parking is available on a first come first served basis. During the conference times, the barrier will be staffed and all cars using the conference centre car park should have a permit. These can be requested at the main entrance barrier. 
  • If you arrive during times where the barrier is not staffed, please proceed to the main reception where permit can be requested. 

Set-up and breakdown

  • Access for set-up is from 7:30am on Wednesday 8 April and completed by 12:35pm (in time for lunch). Upon arrival, please register at the IOP registration desk and you’ll be given your badge and lanyard, shown to the exhibition area and given an orientation.
  • Breakdown is from 1:45pm on Friday 10 April. 

 Storing items overnight during the conference

  • Items can be left overnight but this is at your own risk and the University and the IOP take no responsibility. We recommend that any valuable and IT/ tech equipment is locked away at the end of each day. Please ask at the IOP registration desk for the location and access information for the lockable room.

 Wi-Fi:

1. Enable Wi-Fi on your device and connect to ‘Visit-Ed’ Network.

2. Registration page will open.

3. Either use the Passcode 719-ed26 or use SMS or a Social Media account to connect.

Equipment
  • Any equipment brought on site must be PAT tested, including extension cables.
  • We recommend that laptops, electronic devices and other items of value are not left unattended or unsecured on the stand at any time. The IOP or the University cannot accept responsibility for the loss of or damage to any items left unattended on the premises.

Final delegate information will be sent to those who have registered prior to the conference.
