Here’s some information which you may find useful when exhibiting at the conference. Please note, the building is newly built and taking photography is not permitted until the official launch on 9 May, we would be grateful if you could refrain from publishing any imagery until after this date.
Deliveries and collections by courier
If you're planning to send any items ahead of the conference and/or being collected afterwards, please email vivien.thomas@iop.org for instructions.
Unloading/loading
Please use the layby on JJ Thompson Avenue adjacent to the first set of steps which ascend to the reception level of the building. To unload on Monday 7 April, please pull into this layby and bring your materials up the ramp or stairs and enter via the main entrance. Unfortunately, the street-side lift to the first floor reception level is currently not in operation.
Once items have been unloaded, the vehicle must be moved to the designated car park.
Parking
To book a parking space, please provide the following information: driver name, vehicle make and model, colour of vehicle, car registration, dates required for parking i.e: Monday 7 – Wednesday 9 April, company name.
Your parking permit, 4-digit pass code for entry and exit of the car park and a map indicating the location of the car park will be given to you at the conference registration desk in reception.
Set-up and breakdown
Access for set-up is from 11am on Monday 7 April and completed by 12:30pm (in time for lunch). Upon arrival, please register at the IOP registration desk and you’ll be given your badge and lanyard, shown to the exhibition area and given an orientation.
Breakdown is from 3:30pm on Wednesday 9 April, during the final session.
Storing items overnight during the conference
Items can be left in situ but this is at your own risk and the University and the IOP take no responsibility. We recommend that any valuable and IT/ tech equipment is locked away at the end of each day. Please ask at the IOP registration desk for the location and access information for the lockable room.
Wi-Fi:
Wi-Fi can be accessed by two methods:
Eduroam: a global service that enables students, researchers and staff from participating institutions to obtain wifi connectivity. If your home institution has eduroam available, please ensure this is set-up prior to your visit to the University of Cambridge. You will be unable to set up an eduroam connection if you haven’t already set it up where you work or study.
Guest network: click on the UniOfCam-Guest network and follow the instructions.
Unloading/loading and parking:
As an exhibitor you have been allocated one parking space, location and access information will be emailed to you closer to the event.
Where to unload/load will be available shortly. Parking for this purpose is for a very short time only.
For those who book to stay in the University accommodation, parking is limited - contact the College to book a space.
Equipment
Any equipment brought on site must be PAT tested, including extension cables.
We recommend that laptops, electronic devices and other items of value are not left unattended or unsecured on the stand at any time. The IOP or the University cannot accept responsibility for the loss of or damage to any items left unattended on the premises.
Accommodation
