Instructions for Oral Presenters


The following guidelines are designed to help you prepare for and deliver an effective oral presentation at the UKSWSE meeting, whether you are presenting in person at the conference venue or remotely.

This guidance applies to all participants delivering oral presentations irrespective of the oral presentation type.


1. Presentation Duration

Presentations have been assigned different time allocations. Please refer to the conference programme for the duration of your presentation.


2. Presentation Format


  1. Timekeeping: We will be keeping strictly to time to ensure the programme runs smoothly.
  2. Arrival / Login time: 
    In-person presenters should arrive at least 10 minutes before their session is due to begin.
    Remote presenters should join the online meeting at least 10 minutes before their session to allow time for technical checks 
  3. Session order: Please refer to the conference programme for session scheduling. As timings and order may be subject to change, we recommend checking the programme regularly for updates.
  4. Questions will be managed by the session chair.

3. Presentation Materials & Technical Requirements

  • File types accepted: PowerPoint (.pptx) or PDF.
  • Slide ratio: 16:9 widescreen.
  • Embedded video/audio is allowed—please also provide separate media files.
  • The presenting author is responsible for ensuring that they have the necessary copyright / permissions for all material. 
In-Person Presenters

Please submit your presentation slides in advance to claire.garland@iop.org 
or bring them on a USB drive and upload them to the PC/laptop provided in the lecture theatre at least half a day before your session (for Monday morning talk, please E-Mail them by Friday 11/09/2026 or bring them at 10:00h on Monday morning and no later.

As presentations will be live streamed, presenters will not be able to present from a personal laptop.

Remote Presenters 

Remote presenters will normally be expected to share their screen when delivering their presentation. However, as a contingency, we strongly recommend that you send a copy of your presentation slides in advance to claire.garland@iop.org.

  • Please join the online meeting  at least 10 minutes before your presentation is scheduled to begin.
  • Use a stable internet connection wherever possible.
  • Ensure that your camera and microphone are functioning correctly before joining the meeting.
  • Close unnecessary applications and disable notifications to minimise interruptions during your presentation.
  • You will be invited to share your screen when introduced by the session chair.
  • Should any technical difficulties arise, the session chair and technical support team will assist where possible.

Participants joining remotely will receive a link to a dedicated webpage where the links will be posted. This webpage will remain accessible throughout the event.


4. Equipment Provided (In-Person Presenters)

  • PC/laptop and Projector.
  • Clicker/remote.
  • Microphones/PA system.
5. Remote Presentation Environment 

To ensure the best experience for both in-person and online attendees:

  • Ensure adequate lighting so that your face is clearly visible.
  • Use a headset or external microphone if available to improve audio quality.
  • Mute your microphone when not speaking.
  • Position your camera at eye level where possible.
  • Present from a quiet location with minimal background noise.

6. Branding & Style Guidelines: 

  • Please include the title of the talk, as well as your name and affiliation on the opening slide.
  • Recommended Font Sizes:
    - Heading: 32 - 44 pt
    - Main Body Text: 24 - 32 pt
    - Bullet Points: 20-24 pt
    - Labels on charts: 18 - 24 pts
    - Captions, citations or footnotes: 16-18 pt. 
  • Ensure images, graphs, and data are correctly attributed.

7. General Best Practices

  • Use sans‑serif fonts (Calibri, Arial, Helvetica) for accessibility and clarity.
  • Avoid overcrowding slides—aim for six lines per slide and eight words per line as a soft rule.
  • Maintain high contrast: dark text on a light background or vice versa.
  • When presenting remotely, remember that attendees may be viewing slides on smaller screens, so avoid dense text and overly complex figures.
  • Test your slides on a projector if possible—font sizes often look smaller when projected.
  • Rehearse your presentation to ensure it fits comfortably within the allocated time.
