Registration Times

On arrival at the conference, please collect your badge and conference material from the registration desk located in the reception foyer. The registration desk will be staffed by the Institute of Physics and open during the following hours:

Tuesday 7 October08:30 - 17:30                                            
Wednesday 8 October09:00 - 16:30
Thursday 9 October09:30 - 16:00

Talks and Posters

  • All talks will take place in the Theatre. Presenters should refer to the instructions available here.
  • Posters will be displayed in the Seminar Rooms. You can find your poster number by visiting the programme. Instructions for preparing your poster are also available here

Exhibition

The exhibition will be held throughout the conference alongside refreshments, lunch, and the poster session. Exhibitors contribute towards the cost to operate the event, and we would therefore encourage you to visit the exhibitors to find out about their products and services, and how they can support you. Catering

Catering will be held at set times during the programme. If you indicated when registering for the conference that you have a specific dietary requirement or allergy, please make yourself known to the catering team.

Social Programme

We have an exciting programme of social activities planned for the conference which includes a welcome drinks reception on Tuesday 1 October, held at the Institute of Physics, and a formal dinner at Goodenough College Wednesday 8 October. The dress code for the dinner (formal, black tie optional); no jeans, t-shirts or trainers please.

  • Welcome Drinks Reception - 16:30 - 18:30
  • Conference Dinner - 19:00 - 22:00

If you have registered dietary requirements for the conference lunches, please note that food will be served buffet style. Any dietary submissions made during registration have been catered for. While the building operates a nut-free policy, we cannot guarantee that all items provided by our caterers are entirely free from nuts and/or other allergens. 

Allergen information will be available in the Gallery, where catering is served, and all food will be clearly labelled. Given the buffet format, we encourage delegates with dietary requirements to make informed choices about their food.

If you are attending the conference dinner, and have notified the team of an allergy, please take note of the following declaration from the college catering team:

Please be aware that the college operates a single kitchen. Even if a dish does not actively contain an allergen, we cannot guarantee a nut (or other allergen) free environment. Some dishes may include ingredients labelled ‘may contain nuts’. We ask that delegates with allergen concerns take this into account when making food choices. Our catering team will also be available to assist and always adhere to all health and safety regulations.

Environmental Policy

The organisers and the organising committee recognise their environmental responsibilities and are committed to ensuring the event is as sustainable as possible. To achieve this, we have: 

  • Minimised waste by reducing consumption. 
  • Effective waste management and recycling points
  • Stopped waste by using upcycled, recycled, or reusable items
  • Worked with ethical partners when purchasing supplies
  • Complied with all applicable environmental legislation and relevant codes of practice.
Health and Safety

Your safety at the event is our top priority and as such we plan for all eventualities and emergencies. At least one member of the on-site team is a trained first aider and will be able to assist should you have a medical issue. 

Code of Conduct
