Instructions for Registered Participants


The following information has been compiled to ensure your time at the Superconductivity Summer School is enjoyable and trouble free. If you have any questions, please email claire.garland@iop.org. 

ON ARRIVAL AT WOLFSON COLLEGE (FOR ALL REGISTERED ATTENDEES)

Please go to the Old Lodge to register and collect your welcome pack. This will include a lapel badge as well as a pen and pad. The registration desk will be open during the following hours:

Tuesday08:30 - 18:00
Wednesday08:30 - 18:00
Thursday08:30 - 13:00
Friday08:30 - 17:15

ACCOMMODATION AT WOLFSON COLLEGE [FOR RESIDENTIAL GUESTS ONLY]

  • Check in is from 2pm and check out is by 10am; this is all done via the Lodge. 
  • Breakfast will be served in the Hall between 07:30 - 08:30

CATERING

Catering is included in the registration fee and is served at set times during the programme as follows:

  • Refreshments will be served in the Buttery
  • Lunch will be served in the Haldane Room (adjoining the Hall)
  • Dinner on Tuesday will be served in the Hall. Attendees will receive a meal ticket which they need to present at the till. 
  • The BBQ on Wednesday will be held on the Harbour Lawn. In the event of inclement weather, the BBQ will be held in the Haldane Hall. 
  • The Conference Dinner on Thursday will be served in the Haldane Hall. 

There is also an on-site café offering hot/cold drinks and some snacks, and is open week days from 08:00 - 17:00. Please note that Wolfson College only accepts cashless payments.

DIETARY REQUIREMENTS

All dietary requirements have been notified to the venue - if you indicated a particular requirement during the registration process, please make yourself known to the catering team. Unfortunately, it will not be possible to provide an alterative menu unless requested in advance. 

SITE TOURS

Tours of Oxford Instruments and Tokamak Energy have been arranged for Thursday afternoon. Participants will depart from outside Wolfson College by coach at 13:15 and will return at approximately 18:00. Please note that in order to attend the tour, you needed to pre-register via the registration portal. All attendees visiting Oxford Instruments, need to sign to confirm that they have read and agree to the following Health and Safety document. 

FIRST AID

The Lodge are the first point of contact for first aid assistance but in a medical emergency please call 999. 

FIRE EVACUATION PROCEDURE

The fire alarms will be tested on Monday between 10:00 - 12:00. There are no other test alarms planned and therefore, should the alarm sound, please follow the procedure outlined below. 

If you discover a fire 

  • Operate the nearest fire alarm call point 
  • Contact the Lodge on 01865 274100 or the Fire Service on 999 and confirm the fire giving the following details: Wolfson College Linton Road Oxford OX2 6UD 
  • Leave the building by the nearest exit, closing all fire doors behind you and report to your nearest assembly point. 
  • Inform a member of staff or the Fire Service of the fire location. 
If you hear the fire alarm 

  • Leave the building by the nearest exit, closing all fire doors behind you and report to your nearest assembly point
  • Do not stop to collect personal belongings. 
  • Do not re-enter any part of the building until you are told to do so by the responsible person. 
  • Do not attempt to tackle the fire

CODE OF CONDUCT

Our events are open and inclusive and we therefore expect all participants to be respectful towards others, irrespective of nationality, religion, gender, political views or age. The Code of Conduct sets out expectations of behaviour that the IOP requires to be upheld and which all attendees agreed to whilst registering for the conference. Anyone who displays behaviour outside of the code of conduct will be asked to leave the conference immediately.
